What a data and AI consultant does for a UK business

A data and AI consultant looks at the data your business already generates and builds AI systems that act on it. For a UK SME, that typically means automating reports, scoring leads, flagging anomalies, or handling customer data automatically. This guide covers what the role involves, how it differs from a data scientist, what it costs, and when you are better off without one.

UK business owner reviewing data and AI workflow on a laptop — data and AI consultant

I run KlarifAi, an AI consultancy based in Sunderland. Most of what I do is data and AI consulting: taking the data a business already generates and building AI systems that act on it automatically. Quote history that triggers follow-ups. Production data that generates reports. Customer records that score and route leads without anyone looking at them first. That is the practical shape of data and AI work for a UK SME.

What a data and AI consultant is

A data and AI consultant sits at the intersection of two things: the data your business already has, and the AI tools that can act on it. Their job is to find where those two things can connect profitably, build the connection, and make sure your team can run it without needing the consultant permanently on hand.

At the SME level, this is not a research role or a modelling role. It is a building role. The consultant looks at your processes, identifies which ones are data-driven and currently done by hand, and automates them using AI. The data is usually already there — in a CRM, a spreadsheet, an ERP, or a set of inboxes. The question is whether it is being used or just stored.

Data and AI consultant vs data scientist: what is the difference

The terms overlap but the work is different, and hiring the wrong one is an expensive mistake.

    RolePrimary workTypical outputRight when
Data and AI consultantConnect existing data to AI tools, automate data-driven tasksAutomated workflows, AI agents, live reportingYou want your existing data working harder
Data scientistBuild and train ML models, statistical analysis, predictive algorithmsTrained models, research findings, prediction enginesYou need a model built from scratch on your data

Most UK SMEs asking about data and AI consulting need the first row, not the others. If you are not sure, the answer usually becomes clear on the first call.

What a data and AI consultant does for a UK SME

The process follows a consistent shape:

    Map your existing data

Identify what data your business already holds: CRM records, sales history, customer emails, stock levels, production logs. Most businesses have more usable data than they realise, scattered across tools that don't talk to each other.

Find where AI can act on it

Work out which data-driven tasks your team currently does by hand: compiling weekly reports, scoring or routing leads, checking stock thresholds, chasing overdue items. Each of those is a candidate for automation.

Build and deploy the AI system

Connect the data sources to AI agents or workflows that run the task automatically. Built on tools you can see inside, so your team is not dependent on a black box.

    Hand over with training

Your team learns how the system works and how to maintain it. The goal is that the automation runs without KlarifAi needing to be involved in day-to-day operations.

The constraint throughout is that the AI system must be transparent enough for your team to understand and maintain. A system that only the consultant can explain is a liability. We build on n8n, an open-source tool where every step of the workflow is visible, so clients can see exactly what the AI does with their data.

What data and AI consulting covers for a UK business

The highest-value starting points are usually the tasks where someone is manually working with data every day:

    Automated reporting

Weekly or monthly summaries compiled directly from your live data sources and sent to the right people. No one manually pulls numbers from three different tools on a Friday afternoon.

    Lead and customer scoring

AI reads CRM data and scores or routes enquiries based on criteria your team already uses. High-value leads get faster follow-up. Low-value ones get handled automatically.

    Anomaly alerts

AI monitors key metrics in your sales, production, or financial data and flags when something falls outside the expected range. You find out about a problem before it becomes expensive.

    Customer data processing

Incoming enquiry data is read, categorised, and routed automatically. The right person gets the right information without anyone manually triaging an inbox.

    Data consolidation

Pulls figures from multiple tools into one clean summary on a schedule. Removes the daily copy-paste job that nobody should be doing by hand.

    Triggered actions from data

A threshold is crossed in your stock system and a purchase order is generated. A customer record hits a certain status and a follow-up sequence starts. Data events become automatic actions.

For Roundel Manufacturing, the data and AI work focused on automating the admin that surrounds production: order processing, supplier communication, and reporting. The data was already being captured — it just was not being used to trigger the right actions automatically.

What data and AI consulting costs in the UK

Real numbers. At KlarifAi, data and AI consulting services run on three tiers:

    £99

    £99 per month: Shadow Ops

Light data and AI support, small builds, and ongoing advice. Right for a business that wants to start carefully and prove value before committing to a larger project.

    £300

    £300 per month: Quick Wins

A delivered data and AI build each month, refined as you go. Right for a business with a clear data-driven process to automate and wants measurable results within weeks.

    £5k+

    From £5,000: Custom build

A bespoke multi-step project built to your specific data sources and systems. Right for complex processes that span several tools or require more sophisticated AI logic.

The first 30-minute consultation is free. You get a custom AI roadmap at the end of it whether or not you hire us. Projects begin within roughly 2 weeks and typically take 2 to 6 weeks to build and deploy.

When you do not need a data and AI consultant

The honest answer. Several situations where this is the wrong hire:

    • You need a data warehouse or data engineering work. If the project involves building pipelines in dbt, Snowflake, BigQuery, or similar, you need a data engineering firm. That is infrastructure-level work, not what KlarifAi does.
    • You need ML models trained on large datasets. If you need a predictive algorithm built from scratch, a recommendation engine, or statistical modelling for research, you need a data scientist. KlarifAi uses existing AI models rather than training new ones.
    • You do not have data yet. AI needs something to act on. If the process or data collection is not in place, build that first. We will tell you on the call if that is where you are.
    • The task happens irregularly and depends on judgment. Data-triggered automation works best on consistent, rules-based processes. If the decision varies based on context a person reads from tone or relationships, it will not automate cleanly.

If any of those apply, I will say so on the free call. There is no value in selling a build that will not solve the actual problem. The UK government's National AI Strategy has guidance on the broader landscape of AI adoption support, including funded programmes for SMEs worth checking before committing to paid consultancy.

    Frequently asked questions

What is a data and AI consultant?

A data and AI consultant looks at the data your business already generates and builds AI systems that act on it. For a UK SME, that typically means automating reports, scoring leads, flagging anomalies, or handling customer data automatically.

What is the difference between a data and AI consultant and a data scientist?

A data scientist builds and trains machine learning models, working with large datasets to develop predictive algorithms. A data and AI consultant takes your existing data and connects it to AI tools to automate processes. Most UK SMEs need the second, not the first.

How much does a data and AI consultant cost in the UK?

At KlarifAi: £99 per month for light support, £300 per month for a delivered automation each month, from £5,000 for a bespoke custom build. The first 30-minute call is free and includes a roadmap you keep.

Do I need a data and AI consultant or a data scientist?

If you want your existing business data to drive automated actions, a data and AI consultant is what you need. If you need a predictive model trained on large datasets or statistical research, you need a data scientist.

What does a data and AI consultant do for a small business?

They map your existing data, identify where AI can act on it, build the automations or agents, and train your team to run the system. Common outputs: automated reporting, lead scoring, anomaly alerts, and data consolidation.

How long does a data and AI project take?

A focused single-process project typically takes 2 to 6 weeks from consultation to deployment. At KlarifAi, projects begin within roughly 2 weeks of the initial call.
